TERMS AND CONDITIONS

Please read these Terms & Conditions carefully before booking or participating in any Team UK International event, trip, competition, workshop, or related activity.

By making a booking, submitting a registration form, or participating in any Team UK International activity, you agree to the following Terms & Conditions.

1. About Us

Team UK International (“we”, “us”, “our”) organises international dance trips, competitions, workshops, performances, and related experiences for dancers, dance schools, teachers, parents, and supporters.

2. Bookings & Acceptance

All bookings are subject to acceptance by Team UK International.

Submission of an enquiry or application does not guarantee a place.

We reserve the right to:

  • refuse or withdraw bookings where necessary,

  • amend package details,

  • limit participant numbers,

  • adjust room allocations,

  • or remove participants whose behaviour is deemed inappropriate or unsafe.

3. Deposits & Payment Plans

A non-refundable deposit is required to secure a place.

Payment plans may be offered where applicable. By selecting a payment plan, you agree to make all instalments by the stated deadlines.

Failure to make payments on time may result in:

  • loss of the participant’s place,

  • removal from flights/accommodation allocations,

  • forfeiture of monies already paid.

Final balances must be paid by the deadline specified by Team UK International.

4. Refunds & Cancellations

Deposits are non-refundable unless otherwise stated.

Payments made towards:

  • flights,

  • accommodation,

  • competition entries,

  • uniforms,

  • merchandise,

  • or third-party bookings

may also be non-refundable once confirmed.

If a participant chooses to cancel, refunds (if any) will depend on:

  • notice period,

  • supplier policies,

  • and costs already incurred.

Team UK International is not responsible for losses caused by:

  • illness,

  • injury,

  • failure to obtain travel documents,

  • personal circumstances,

  • airline cancellations,

  • or events outside our control.

Refund & Cancellation Timeline

If a participant chooses to cancel their place, any refund offered will depend on the date written notice is received and the costs already committed by Team UK International.

Unless otherwise stated in writing, the following cancellation terms apply:

More than 120 days before departure/event

Payments refunded minus non-refundable deposit and any supplier costs already incurred

90–120 days before departure/event

Up to 50% refund of monies paid excluding deposit and committed supplier costs

Less than 90 days before departure/event

No refund unless the place can be resold and supplier costs recovered

Flights booked/issued

Flights are non-refundable

Uniforms, merchandise, competition entries

Non-refundable once ordered or submitted

Refunds, where applicable, will normally be processed within 28 days of written cancellation confirmation.

Team UK International reserves the right to deduct:

  • supplier charges,

  • transaction fees,

  • currency conversion losses,

  • administrative costs,

  • and any unrecoverable expenses already paid on behalf of the participant.

5. Travel Documentation

Participants are responsible for ensuring they:

  • hold a valid passport,

  • meet visa or entry requirements,

  • comply with destination travel regulations,

  • and obtain appropriate travel insurance.

Team UK International accepts no responsibility for denied boarding, refused entry, or losses arising from incomplete or incorrect documentation.

6. Flights & Travel Arrangements

Flight schedules, airlines, and routes are subject to change.

Where flights are included within a package:

  • exact flight details may not be available immediately,

  • seat allocations cannot be guaranteed,

  • baggage allowances are subject to airline policies.

Team UK International is not liable for:

  • airline delays,

  • cancellations,

  • schedule changes,

  • baggage loss,

  • or disruption caused by third-party providers.

7. Accommodation & Room Sharing

Accommodation arrangements may include shared rooms.

Room allocations are organised based on:

  • age,

  • gender,

  • dance school/company,

  • and operational requirements.

Specific room requests cannot be guaranteed.

Participants may be responsible for costs relating to:

  • damages,

  • missing property,

  • excessive cleaning,

  • or breaches of hotel rules.

8. Participant Conduct

All participants are expected to behave respectfully and professionally at all times.

Bullying, harassment, abusive behaviour, dangerous conduct, illegal activity, or actions that place others at risk will not be tolerated.

Team UK International reserves the right to remove any participant from an event, accommodation, rehearsal, performance, or trip without refund where behaviour is deemed unacceptable.

Parents/guardians may be required to arrange immediate collection or return travel at their own expense.

9. Safeguarding

The welfare of children and young people is a priority.

Participants, parents, teachers, and staff are expected to follow all safeguarding procedures and codes of conduct implemented by Team UK International.

Any safeguarding concerns should be reported immediately to the designated welfare lead.

10. Medical Information

Participants must disclose:

  • relevant medical conditions,

  • allergies,

  • injuries,

  • medications,

  • or additional support requirements.

Failure to provide accurate medical information may result in removal from participation where safety could be compromised.

In the event of illness or emergency, Team UK International may seek appropriate medical treatment where necessary.

Any associated medical costs remain the responsibility of the participant or parent/guardian.

11. Photography & Media

Team UK International may photograph or film:

  • classes,

  • rehearsals,

  • performances,

  • trips,

  • workshops,

  • and related activities.

Images and video may be used for:

  • social media,

  • promotional materials,

  • marketing,

  • website content,

  • and future advertising.

By participating, you consent to reasonable use of this content unless written notice is provided in advance.

12. Competition Entries & Event Scheduling

Competition schedules, categories, venues, judges, and event formats are controlled by external organisers and may change without notice.

Team UK International cannot guarantee:

  • placement results,

  • stage times,

  • category availability,

  • or performance opportunities.

13. Force Majeure

Team UK International shall not be held liable for failure or delay caused by events beyond reasonable control, including but not limited to:

  • natural disasters,

  • pandemics,

  • government restrictions,

  • terrorism,

  • strikes,

  • severe weather,

  • transport disruption,

  • venue closures,

  • or supplier failures.

Where possible, alternative arrangements or credits may be offered, but refunds cannot be guaranteed.

14. Liability

Participation in dance, travel, rehearsals, performances, and physical activity carries inherent risk.

Team UK International accepts no responsibility for:

  • injury,

  • illness,

  • theft,

  • loss of belongings,

  • or damages

except where required by law.

Participants attend and travel at their own risk.

15. Website Use

All website content, branding, graphics, logos, videos, and written materials remain the intellectual property of Team UK International unless otherwise stated.

Content may not be copied, reproduced, or distributed without written permission.

16. Changes to Terms & Conditions

We reserve the right to update these Terms & Conditions at any time.

The latest version will always be published on our website.
